How to organise sales enquiries and follow-ups

A website visitor becomes a useful enquiry when your team knows what the person needs and what to do next. A WhatsApp click is a sign of interest, but it is not proof that a message was sent or a sale was made.

Capture enough context to respond

  • Business type and location.
  • The problem the person wants to solve.
  • The apps or workflows they want to discuss.
  • A preferred contact method and suitable time.

Give every enquiry an owner and a next action

Keep a small set of stages such as new enquiry, contacted, requirements understood, quotation sent and closed. Add a next-action date. Record the reason when an enquiry is not a fit so that marketing content can improve.

Keep quotations connected to the conversation

Confirm scope, assumptions, availability and exclusions before sending a quotation. When a prospect replies, keep the relevant notes with the same contact. Avoid treating a planned feature as something available for immediate delivery.

Measure the steps separately

Count visits, contact clicks, actual received enquiries, qualified opportunities and completed sales as separate measures. Compare the questions people ask with the content they read. Improve pages that attract the right businesses but leave important questions unanswered.
