Inventory and billing: a practical setup checklist

Billing and stock need to describe the same business activity. A tidy product catalogue and a reconciled starting balance make later sales and purchasing records easier to trust.

Prepare the catalogue

Choose a stable item code for each product. Record units, variants, prices and the tax treatment your accountant requires. Avoid duplicate products with slightly different spellings. Decide whether batches, expiry dates or serial numbers are necessary for your stock.

Agree on opening balances

Choose a cutover date and count stock by location. Separate damaged, reserved and customer-owned goods where applicable. Record the opening quantity and valuation, and have the responsible person review differences before routine transactions start.

Walk through the transaction cycle

  • Receive a purchase and verify quantity, unit and location.
  • Create a sample bill and check price, rounding and payment allocation.
  • Check when stock is deducted: order, dispatch or invoice.
  • Test a return and ensure quantity and financial balances agree.
  • Review stock movement and outstanding payments at the end of the day.

Keep a reconciliation habit

Review unexplained stock adjustments, unpaid invoices and returns regularly. Assign an owner for corrections and keep the source document for each change. Software supports this process; it does not replace checking the physical and financial records.
